The Set Administrator is responsible for tracking and control of surgical sets at all internal and external locations; including monitoring and coordinating set availability at internal and quick ship locations to meet daily set requests, transfers and changes of status of sets in the tracking system and monitoring return of overdue sets. The Set Administrator works closely with Set Processors to ensure sets are prioritized to needs and with distribution to confirm sets are shipped to fill requests. The Set Adminstrator will participate in, plan and/or coordinate projects and programs related to surgical set changes and/or upgrades. The Set Administrator is available as scheduled to handle after hours or emergency needs for sets.
ESSENTIAL DUTIES AND RESPONSIBILITIES • Monitors set availability daily and coordinates priority of set processing to ensure availability of sets in house and at quick ship locations. • Receives inbound sets and transfers to In-House location. • Maintains accurate records of inbound and outbound sets in set log. • Maintains accurate records of surgical set locations, transfers and status changes. • Maintains accurate records of surgical set upgrades, set rotations and surgical set projects. • Investigates and resolves discrepancies related to set shipments, location and status, and missing components from returned sets, • Maintains records of loaner sets due, extensions of loaner set due dates; update Vantage records for all loaner sets. • Generates and routes daily report of past due loaner and show/tell status sets. • Generates reports pertaining to all set status categories. • Communicates with Field Services regarding ITRs and set movements. • Acts as On Call Administrator as scheduled after hours. • Maintains record of pending surgical set requests for Sales, Marketing, R&D and Education needs. • Assists Set Processors on the reconciling of returned sets from the field. • Ensures compliance and completion for all decontamination room records and logs. • Performs routine clerical duties including data entry. • Performs In-House set surveys. • Communicates with sales personnel to control and manage set inventory. • Assists warehouse personnel. • Performs other duties as assigned. • Must be familiar with and be able to interpret packing slips, enter correct information into a computer program and acknowledge receipt of the goods into the purchase order and processing database. • Must be detail oriented and thorough in following procedures. • Must be able to compare available quantity of product in inventory and calculate the difference to target quantity. • Must be able to recognize trends in product demand and coordinate product movement accordingly. • Have the ability to solve practical problems and deal with a variety of changing situations under stress. • Have strong interpersonal and communication skills including the ability to resolve conflicting interests. • Have the ability to multi-task. • Have solid organizational skills. • Have a pleasant telephone demeanor. • Have the ability to perform cycle counts and maintain inventory. • Working knowledge of MRP (Materials Requirement Planning) software. • Must be proficient in Microsoft Office software use. • Some travel required EDUCATION and/or EXPERIENCE Minimum of 3 years experience in an inventory function or similar job. Minimum high school Diploma or equivalent required.
