Jobing Description
•Provide phone screening and related reception services for the Executive Director
•Assist in organizing and managing the Office of the Executive Director •Maintain schedule of Executive Director and schedule meetings as requested •Maintain accurate minutes of Board and senior management meetings •Maintain filing system, both paper and computer based •Typing, copying, faxing & provide clerical support for the Executive Director as needed •Assist Executive Director in administrative tasks including report production, research, statistical analysis, meeting minutes, and composing letters and other documents •Maintain confidentiality •Regularly exercises discretion and independent judgment •Maintain extensive positive relationships with agency staff, Board and members of the public •Facilitates effective communication between the Executive Director and other agency staff and within the senior management team •Have and maintain positive and supportive relationships with coworkers •Maintain accurate knowledge about the agency, its programs and service •Accurately represent the agency to and maintain positive working relationships with the general public, clients, funding sources, government bodies, etc. •Communicate positive and negative feedback from the community to management •Utilize appropriate opportunities to pursue positive public relations for the agency •Assists in organizing agency events •Purchase, secure and distribute supplies for SAY’s corporate office •Maintain physical space and equipment at SAY’s corporate office including vendor management for maintenance, cleaning, copier repairs, phone repair, etc. •Oversee outgoing mail •Other tasks as assigned by the Executive Director Skills / Requirements
•Demonstrated administrative experience
•Capacity to compose letters and related documents •Computer knowledge and data entry experience •Excellent communication skills and ability to maintain positive relationships with staff and public. •Excellent organizational skills •Proficient in Word, Excel, Access, PowerPoint, Outlook •Access to reliable transportation and willing to use for job-related tasks •Have a driving record that complies with SAY Driving Policies Important Notes
