Hydranautics, an industry leader in membrane manufacturing, currently has a career opportunity for a Payroll & Records Administrator. Under limited supervision, this position is responsible for full cycle payroll administration, processing and reporting. Oversees and performs all activities for the timely and accurate processing of high volume multi-state, bi-weekly hourly and salaried domestic payrolls and ensuring compliance with related policies and statutory regulations. Oversees and performs activities to maintain accurate and thorough payroll and personnel records in compliance with related policies and statutory regulations. Provides a high level of customer service to internal customers (employees and managers) and interfaces professionally with external service providers.
* Administers full cycle domestic payroll function for the company. Prepares and processes bi-weekly payrolls for all domestic employees. Processes, issues and distributes employee paychecks and earnings statements. Prepares & processes special payrolls for bonuses and other special payments.
* Accurately process all wage payments, mandatory and voluntary deductions.
* Reviews & processes liens and wage garnishments for all domestic employees.
* Ensures payroll taxes are properly paid in multi-state environment.
* Reviews/reconciles quarterly taxes.
* Prepares bi-weekly, monthly, quarterly and year end reports and complies with statutory requirements.
* Administers time off programs including verification of accrued hours and recording hours.
* Ensures compliance with all federal, state and local laws as they relate to payroll and HR.
* Researches discrepancies of payroll information and/or documentation (e.g. time sheets, leave time etc) and makes corrections as needed.
* Maintains payroll and personnel information, files and records in written and electronic formats to ensure up-to-date reference and legal compliance. Prepares records for storage & destruction.
* Prepares 401k funding spreadsheets, report data and fund contributions.
* Responsible for timely distribution of annual W-2 statements. Provides copies as requested. Processes and prepares W-2 Amendments as needed.
* Runs weekly payroll reports for all temporary staffing agencies and is responsible for the accuracy and delivery to supervisors and staffing agencies. Audits and reconciles invoices from staffing agencies to temporary worker timecards and processes invoices for payment.
* Administers Commuter Benefit Reimbursement program & processes reimbursements.
* Generates and distributes standard and ad hoc reports and statistical summaries.
* Provides support to employees and management including answering routine questions, researching and resolving payroll issues.
* Sorts & distributes incoming mail. Prepares outgoing mail including Fedex, UPS, Certified.
* Maintains department supply cabinet and orders supplies as needed.
* Answers phones, routes calls, greets visitors.
* May participate on employee involvement committee & assist in organizing Company functions.
* Performs other duties as assigned.
Skills / Requirements
* AA degree (or equivalent) in Accounting, Business, Payroll or related area and 3-5 years experience in Payroll or equivalent combination of education/experience.
* Some exp. in Human Resources helpful.
* Strong knowledge of payroll including processing, wage garnishments, taxes, record-keeping, documenting records and compliance.
* Strong working knowledge of California and Federal Wage and Hour Laws.
* Basic knowledge of other Federal and California employment laws and regulations.
* Experience with automated payroll and timekeeping systems (ADP preferred).
* Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.
* Must be highly detail-oriented and extremely accurate.
* Good working knowledge of payroll and personnel record-keeping protocol and legal requirements.
* Excellent administrative and organizational skills and strong verbal and written communication skills.
* Strong problem analysis and problem solving skills.
* Ability to prioritize and manage multiple concurrent activities, projects and priorities.
* Intermediate skills with MS Outlook, Excel and Word. Some experience with Publisher helpful.
* Strong interpersonal and customer service skills including being a good team player.
* Demonstrated ability to maintain confidential information and use judgment and discretion.
